2. Information We Collect

The types of personal information we collect depend on how you use our services.

Information you provide directly:

  • Health information (medical history, dental records, case notes, treatment goals, intraoral scans, impressions, photos, x-rays, progress updates)
  • Order details (billing/shipping addresses, payment confirmations)
  • Account details (username, password, security questions)
  • Communications with our team (emails, chats, messages)

Information collected automatically:

  • Usage data such as IP address, browser type, device details, pages visited, and referral URLs
  • Cookies and similar technologies to operate our site, analyse performance, and personalise your experience

  • Service providers like Shopify, payment processors, shipping carriers, and analytics partners

4. Patient Record-Keeping and Retention

Health records are stored in secure, encrypted systems accessible only to authorised Jawology staff, partner dentists, and clinical reviewers under confidentiality agreements. Records are retained for at least seven (7) years after your last contact with Jawology, or until a minor turns 25 years old, in accordance with Australian law. After this period, records are securely deleted or de-identified.

 

5. DentalMonitoring and ScanBox

As part of your treatment, you may use the DentalMonitoring app and ScanBox to capture and upload progress scans remotely.

The ScanBox helps record images of your teeth, which are uploaded securely to DentalMonitoring — a third-party clinical platform used by dental professionals worldwide.

These scans are used to assess treatment progress, track aligner fit, and identify any clinical issues that may require refinements.

DentalMonitoring stores your data on secure servers (which may be outside Australia). Your information may also be used in anonymised or aggregated form by DentalMonitoring to help improve the quality of its AI algorithms and services for other patients globally.

Jawology and your reviewing dentist access your data only for the purpose of your treatment.

You may request access or deletion of your DentalMonitoring data through Jawology or directly with DentalMonitoring, subject to health record retention requirements.

 

6. How We Share Your Information

We may disclose personal or health information:

  • To registered dentists and authorised clinical reviewers working with Jawology
  • To service providers such as Shopify, payment processors, shipping and IT partners
  • To partner dental clinics if your case requires in-person care
  • To third-party vendors including DentalMonitoring involved in your treatment
  • To regulators or authorities where required by law
  • In the event of a business transfer such as a merger or acquisition

We do not sell or trade your personal or health information.

 

7. Cookies and Tracking
